CRM and Data Analytics Officer
Reports to: Advancement Director

Position Summary:
The CRM and Data Analytics Officer supports the effective use of data and systems for advancement at the school, combining day-to-day operations with analytical insights. This role serves as the super-user of our CRM and related platforms, ensuring data integrity, responding to requests, and helping colleagues make the most of the tools available.
The Officer develops dashboards, supports reporting, and contributes to forecasting in areas such as enrollment and fundraising. The position requires a balance of operational precision (data entry, certificates, reconciliations) and analytical thinking (trend analysis, projections, insights). The successful candidate is proactive, collaborative, and eager to use technology to improve processes and decision-making.
Key Responsibilities:
Reporting & Data Insights
- Build dashboards and data models to provide clear insights for SIS Board and leadership, using tools such as Google Sheets, Infogram, or Google Looker Studio.
- Track enrollment and fundraising metrics, preparing reports that inform planning and strategy.
- Design and analyse surveys (e.g. parent/guardian, entrance/exit).
- Perform trend analysis, cohort analysis, and segmentation to identify patterns, risks, and opportunities.
- Support forecasting of student enrolment and donor pipeline using historical data and predictive logic.
- Submit CASE and other benchmarking data and support analysis of results.
Data Management & Systems
- Act as super-user and primary contact for the CRM supplier.
- Support and maintain functionality of the SIS Connect Platform (ToucanTech CRM), ensuring colleagues can use it effectively.
- Process requests and queries related to SIS Connect.
- Process and track gifts, pledges, acknowledgements, and stewardship plans.
- Support team activities and events by preparing accurate mailing lists for target audiences.
- Carry out annual data migration, data updates, system upgrades, and data integrity checks.
- Manage data imports, exports, and reconciliations between CRM, student records, finance, and admissions systems.
- Maintain up-to-date documentation and liaise with IT/Finance on reconciliation of data and gifts.
- Manage the records@ inbox and respond to requests for transcripts, enrolment certificates, admittance certificates, etc.
- Use and support colleagues in platforms such as GSuite, ToucanTech (CRM), OpenApply/ManageBac (admissions and student records), Infogram (visualisation), SurveyMonkey, and Monday (project management).
Research & Innovation
- Gather and maintain prospect and intelligence data to support advancement efforts.
- Monitor external environments for business intelligence relevant to the school.
- Share best practice use of platforms across the team, supporting training where appropriate.
- Keep informed about developments in AI tools and share insights on how they might improve reporting, efficiency, and workflow.
Other
- Provide operational support to ensure effective use of systems and processes.
- Keep up to date with professional best practice and promote it throughout the team and the School.
- Occasionally support duties outside of normal office hours or on weekends as agreed with the Advancement Director.
Qualifications, Attributes and Experience
- Demonstrated ability to structure, clean, and analyse data sets to extract actionable insights.
- Strong data visualisation skills, capable of creating clear and understandable dashboards.
- Familiarity with Customer Relationship Management (CRM) systems and confidence as a super-user.
- Experience with reporting, data entry, and maintaining records.
- Basic understanding of statistical concepts.
- Experience creating calculated fields and conditional logic in CRM or spreadsheet environments.
- Proactive learner, curious about new technologies and best practice in data use.
- Commitment to data privacy, ethics, and confidentiality, maintaining stakeholder trust.
- Strong interpersonal and communication skills, with an ability to support colleagues in using systems.
- Analytical, detail-oriented, and organised.
- Good working knowledge in both English and Swedish, written and verbal.
- Degree or equivalent experience in a relevant field.
Contract:
Fixed‑term employment under LAS 5 § 2 (vikariat) from September 2025 until January 31, 2027, or until the regular post‑holder returns, whichever occurs sooner.
